Inventory & Procurement

Move from stock quantities to purchase requests, approvals and orders.

Inventory and procurement are two linked modules. Inventory tracks what your hotel has and what it needs. Procurement takes a purchase request through approval to a purchase order.

Find what needs replenishing

Compare stock quantities with the configured minimums. Stock movements, usage and restock adjustments show why the quantity on hand changed. Check that both the actual quantity and the minimum are right before you use them to reorder.

Prepare a purchase request

Select the supplies to replenish and enter reorder quantities, then add the cost estimate required for the purchase request. Give the approver enough detail to understand why the hotel needs the supplies.

Follow the configured approvals

Your hotel’s approval rules and permissions determine who reviews the request and what approval it needs. Review the request alongside its approval decisions. The same role name doesn’t always mean the same approval authority.

Create the purchase order

Purchasing selects approved requests and chooses the vendor, then creates the order. The order keeps the requested items and quantities, along with their purchasing details.

Plan the receiving process

This release has no native goods-receipt entry. The native workflow described here ends when the purchase order is created, so decide how your property will handle receiving before you plan a full purchasing rollout.
